Learn how to add, manage, and understand the beneficiary journey
A beneficiary is a person you designate to receive access to a specific file. They could be a family member, lawyer, accountant, or anyone you trust to receive your important documents.
Each file can have multiple beneficiaries. Beneficiaries must accept their nomination before they can request access to any files.
Upload a file
Start by uploading a file from the Upload page.
Add beneficiary details
Enter the beneficiary's full name and email address in the Beneficiaries section during upload.
Add multiple if needed
You can add as many beneficiaries as needed per file. Each will be notified separately.
Complete the upload
Once the file is uploaded, nomination emails are automatically sent to all beneficiaries.
Tip: You can also add or remove beneficiaries after upload by editing the file from your dashboard.
Pending
The beneficiary has been nominated but has not yet responded to the invitation email.
Accepted
The beneficiary has accepted the nomination. They can now request access to the file through the beneficiary portal.
Declined
The beneficiary has declined the nomination. They will not have access to the file. You can nominate a replacement.
Receives nomination email
Sent automatically when you upload a file with their details
Accepts or declines
Beneficiary clicks the link in the email and makes their choice
Receives magic link
On acceptance, they receive a secure link to access the beneficiary portal
Requests access when needed
From the portal, they submit an access request when they need the files
Owner approves or denies
You receive an email and have a set window to respond
Receives access code
On approval, all accepted beneficiaries receive a unique 8-character access code
Downloads the file
They use the code on the beneficiary portal to download the file
You can remove a beneficiary at any time by editing the file from your dashboard. Removed beneficiaries immediately lose access to the file and will no longer be able to request access.
Note: If an access request is already approved and a beneficiary has a valid access code, removing them will not invalidate that code. The code expires after 30 days naturally.
